Serialized Product Tracking, Inventory, Call Tracking, FDA compliance, Operations Workflow

- XMD Software Steps in When Other Systems Reach Their Limits at the Leading US Solution Provider for Home Monitoring of Seizure and Sleep Disorders-

Over the last five years, XMD has assumed multiple vital roles in the operations of the leading solution provider in the United States for home monitoring of seizure and sleep disorders as the biomedical technology company grew. Starting with serialized product controls (deployed with bar code), XMD supported five years of business growth and changes, eventually assuming all operations workflow and inventory. A brief history:

Five years ago, the customer sought inspection and serialized product receiving software that could be integrated with its custom customer service database. XMD deployed serialized product tracking with bar code for the customer’s receiving department in three weeks. This initial project has run for half a decade with 100% reliability, fault tolerant operation.

Later, management decided to replace the custom customer service database with an off-the-shelf package because management needed enhanced call tracking, costing, and repair workflow tools. Using the XMD External Data Exchange toolkit, PenFact coverted the custom customer service database to populate the new off-the-shelf package, all with no change to or interruption in the now critical receiving function.

Time passed, and as the biomedical device company grew, so did the volume of work and details required to control and track FDA regulated processes. The business expansion created demand for additional data entry controls that the customer service system did not provide. Paperwork was growing. FDA reporting and data retention became concerns. PenFact worked with the customer to use XMD in the inspection process. This dramatically improved inspection controls and eliminated in-process paperwork. The customer controlled the design and deployment of inspection forms using the XMD Design Console.

One year ago, product line growth lead to critical field limitations in the off-the-shelf package - the company’s product line had outgrown database limitations. PenFact reviewed the situation and proposed applying XMD to the problem.

Six months ago, under the customer’s direction, using the XMD toolkit, PenFact enhanced the back-end interface to manage operations workflow. Starting with call reporting, XMD links call reports to serialized products, through inspection and repair, and back to the customer.

Four months ago, the biomed company deployed XMD for front-end data entry for consumable inventory using a wireless PDA with bar code scanning.

Today XMD is the core operations package, providing a consistent user experience for all operating staff, and enabling rapid change without requiring programmers to adapt.
